Let HBA automatically notify your clients when you have an available appointment instead!
1. Create a custom value with your client's emails that you would like to notify
2 Create a new workflow
3. Set up the workflow trigger: Appointment Status (event type: normal, appt is: cancelled, in calendar: select your lesson calendar)
4. Add an action: Internal Notification
Type of notification = email
To user type = custom email
Select custom value
Add message and subject line with link to calendar to fill the lesson spot
5. When a client cancels, make sure they cancel the appointment in your HBA lesson calendar! Or be sure you set the appointment status to "cancelled"
